Office Manager — Indralaya
Orcas Island, Washington | Part-Time, Year-Round | Hybrid
Indralaya is seeking an experienced, organized, and service-oriented Office Manager to oversee the administrative and financial record-keeping functions of our small nonprofit center on Orcas Island.
Indralaya is dedicated to community and spiritual development and to principles including altruism, non-harm, tolerance, conscious simplicity, love, and the pursuit of truth. Located on 78 wooded acres, Indralaya offers programs from spring through fall in an environment emphasizing service, community, reverence for nature, and care for one another and the natural world.
The Office Manager is a central administrative resource for Indralaya and works closely with the General Manager, Board Treasurer, other staff, volunteers, program participants, presenters, vendors, and members of the Indralaya community.
The Position
The Office Manager reports to the General Manager and is responsible for a broad range of administrative and financial functions, including:
Administrative and Financial Responsibilities
- Maintaining organizational records, office files, mailing lists, membership records, and administrative systems.
- Maintaining a calendar of required nonprofit, governmental, regulatory, licensing, and other filings and assisting with their preparation.
- Oversight of office equipment, software, subscriptions, and other administrative systems.
- Providing administrative support to the General Manager, Treasurer, and Board of Directors as needed.
- Helping develop and maintain written office procedures so that important administrative functions can continue smoothly during staff absences or transitions.
- Maintaining accurate bookkeeping records, including all income and expenses for programs.
- Reconciling bank, credit card, and other financial accounts and assisting with financial reporting.
- Processing staff payroll and benefits .
- Assisting with year-end financial closing and preparation of information for tax and regulatory filings.
Program and Participant Registration
- Managing program registration, accommodation assignments, registration queries, and communication of relevant program details to others.
The Office Manager is responsible for administrative preparation and recordkeeping but does not independently establish financial, legal, personnel, or organizational policy or provide professional legal or tax advice.
Qualifications
We are looking for a candidate who brings:
- Experience in office administration, bookkeeping, accounting support, or a comparable administrative role.
- Strong organizational skills and careful attention to detail.
- Experience maintaining accurate financial and administrative records.
- Facility with spreadsheets, email, word processing, online databases, and cloud-based systems.
- Experience with bookkeeping software; QuickBooks experience is strongly preferred.
- Strong skills with Excel and Microsoft Word and familiarity with Google Forms, Docs, and Drive.
- Ability to learn and manage registration and membership software.
- Ability to work independently while communicating effectively with the General Manager and others.
- Good written and verbal communication skills.
- Ability to manage multiple responsibilities and deadlines.
- Sound judgment and discretion in handling confidential financial, personnel, donor, member, and participant information.
- A cooperative, service-oriented approach to working with participants, volunteers, staff, and the wider Indralaya community.
- Experience with nonprofit organizations and nonprofit financial administration is desirable.
Work Arrangement
This is a year-round position averaging approximately 25 hours per week. Because Indralaya’s programs are seasonal, the amount of time devoted to particular responsibilities will vary throughout the year.
The position is suitable for hybrid work, with an expectation of being physically present at Indralaya a minimum of once each month, as well as at other times when mutually agreed and useful to the organization.
The Office Manager is encouraged to participate in the life of Indralaya when on site, including interacting with program participants and presenters, stewards, and staff, and observing programs when appropriate and joining community meals.
Compensation
The salary range is $32,000 – $38,000, commensurate with experience.
